Who this policy covers
SOLVIT MEDIA operates solvitmedia.com under the SOLVIT brand. This policy explains our handling of personal information through this website and its inquiry, calling and consultation features. It does not replace a separate agreement or privacy notice provided for a client project.
For a privacy question or request, use our Contact page or email [email protected]. Tell us that your message concerns privacy and provide a way to reply. Please do not include passwords, payment-card details, government identification or other unnecessary sensitive information.
Information we collect
- Inquiries: the name, contact information, business details, service interests, message and permissions you choose to submit. We also keep records of our replies and the administration of your request.
- Requested calls: your phone number, consent and its time and version, a request identifier, call identifiers and status, browser-session association and information you share during the conversation. Our call services process your voice and generate transcripts; see the call section below.
- Consultations: contact details, the appointment you select, time and time zone, booking status, meeting-link information and related communications.
- Website operation: browser and device information, connection and access records, session identifiers and security or abuse-prevention records. Some operational identifiers are encrypted or hashed; that does not necessarily make them anonymous.
We receive information directly from you, from your use of these features and from the service providers that help deliver them.
How we use information
We use information to respond to inquiries, deliver a call you request, display its status and transcript to the requesting browser, organize consultations, communicate about your request and maintain relevant contact records. We also use operational information to troubleshoot, prevent duplicate or abusive requests, protect the service, administer our business and meet applicable obligations.
A request for a call is not permission for unrelated marketing or appointment texts. Submitting an inquiry or speaking to Sam does not give us permission to publish your conversation as promotional material.
Sam calls and live transcripts
Sam is an AI receptionist. When you request a website callback, the consent shown with the request applies to one requested call and its transcript in that browser. Only use a number you are authorized to provide. Your confirmation is an attestation; the checkbox does not independently verify ownership of that number.
Audio is processed by our calling and AI service providers. We maintain call, consent and transcript records to operate the experience. Providers may also retain call records, transcripts and audio recordings under their settings and applicable policies. Do not treat the demo as confidential professional advice or use it to share unnecessary sensitive information.
A necessary session cookie associates the requested call with your browser and controls access to its status and captions. An ordinary direct phone call is not automatically linked to a website transcript. Ending a call, clearing visible captions or removing browser storage does not itself delete records held by our application, providers or backups.
For questions about a specific call or a request to access or delete information, contact us. We may need enough details to locate the record and confirm your authority to make the request.
Consultations, email and optional texts
Our consultation flow uses your submitted contact details and selected time to arrange a 20-minute video meeting and deliver the relevant email confirmation and joining information. A consultation is confirmed only when the booking flow reports a successful booking. Sam’s live demo does not currently create CRM records or complete bookings.
Appointment text messaging is not yet active. If offered after verification, it will require a separate, optional affirmative choice for SOLVIT appointment confirmations and joining information. Giving a phone number, requesting a Sam call or agreeing to receive email does not by itself grant SMS permission. Declining appointment texts will not prevent you from requesting services or booking with email confirmation.
For an active text program, you may withdraw consent by replying STOP and request help by replying HELP or using our Contact page. The Terms & Conditions describe that program separately.
Service providers and disclosures
We use service providers for website hosting, infrastructure and security, AI and telephone communications, contact administration, scheduling, video meetings and email. They process relevant information to deliver those functions. Their own handling of information may also be subject to their applicable terms and privacy notices. This policy does not promise that every provider stores data in a particular country or excludes every possible use under its own policies.
We may disclose information when reasonably necessary to comply with law or a valid legal process, protect rights or safety, investigate misuse, or obtain professional advice concerning our operations.
Mobile-information commitment: SOLVIT will not sell mobile numbers or messaging-consent records, or share them with third parties or affiliates for their marketing. Necessary processing by contracted service providers to deliver requested communications, and disclosures required by law, are distinct from marketing sharing.
Cookies and browser storage
The website uses necessary session technology for the call experience and browser session storage to remember your light or dark theme selection. Hosting and embedded inquiry or scheduling services may use their own necessary browser storage and connection records. This notice does not claim that the website or every embedded service is cookie-free.
You can control cookies and site storage through your browser. Blocking or deleting them may reset your preferences or prevent a call session, form or booking feature from working properly. It does not delete information already received by us or our providers.
Retention and safeguards
We keep information for as long as reasonably needed for the request or service, business administration, security, dispute resolution and applicable legal obligations. Retention differs across our application, communication services, contact records and backups. We do not promise one automatic deletion deadline across all systems.
We use safeguards appropriate to the information and service, including access controls and protections for call-session records. No website, transmission or storage system can be guaranteed completely secure. Please avoid submitting information the inquiry or demonstration does not need.
Your choices and requests
Depending on the law that applies to you, you may have rights to request access, correction or deletion of personal information, or to object to or restrict certain processing. These rights can be subject to exceptions and do not apply identically to every visitor.
Use our Contact page to make a request or withdraw a permission you previously gave. We may seek proportionate information to confirm your identity or authority, and may need to coordinate with a provider. We will explain any applicable limitation. We do not require unnecessary sensitive identification by default.
This website is intended for business inquiries, not for children. If you believe a child has provided personal information through it, contact us so we can review the situation.
Updates to this policy
We may update this policy when our services or practices change. The effective date above identifies this version. Material changes will be communicated as appropriate; a later notice does not retroactively authorize a use that requires separate permission.
